Wig Sample Evaluation Sheet & Revision Log

Record each sample check, approval decision and requested revision.

When to use: When reviewing a physical sample before approving production.

How to use this tool

Record the sample ID, product and review date. Compare construction, lace, fit, measurements, texture, color, workmanship and packaging with your agreed specification and physical references.

  1. Download the blank Excel file and record your project inputs.
  2. Review uncertain fields with the supplier and identify physical references or evidence.
  3. Prepare a versioned specification, then attach the completed tool where the inquiry form supports it or paste the key rows into your RFQ.
Choose Approved, Approved with Revision, Revise & Resample or Rejected. Specify the revisions and whether another sample is needed. Approval with revision is not an unrestricted production release; agree the changes and release conditions in writing.

Wholesale Wig Sample Evaluation Workflow

A sample approval should answer whether a numbered product matches measurable requirements, not just whether it looks good in a photograph. Use consistent inspection conditions and retain the result for bulk acceptance.

  1. Assign one sample ID and version for each construction and shade.
  2. Record the promised hair input and request supporting evidence where available.
  3. Measure length with the agreed method and photograph the procedure.
  4. Record net finished weight and any declared tolerance.
  5. Measure lace area, cap circumference and the placement of retention components.
  6. Compare density distribution, knots and hairline with the written reference.
  7. Assess shade under agreed lighting and texture after the agreed handling routine.
  8. Inspect seams, shedding observations, clips, bands and other workmanship.
  9. Check labels, packaging fit and shipment protection.
  10. Mark approved, revise or rejected and obtain written sign-off before bulk release.

Do not approve a color, cap or hairline issue by implication. A revision needs a new version, and a sampling checklist does not replace the purchase agreement’s acceptance criteria. Use the wholesale RFQ template and quality-control framework for the next step.

Can the golden sample be updated?

Yes. Assign a new version and obtain written approval for the replacement reference.

Is one sample sufficient for five shades?

Not necessarily. Choose sample coverage based on the risk of each construction and shade variation.

Does this checklist replace an inspection contract?

No. Binding acceptance criteria belong in the purchase agreement.

Apply the Checklist to the Chosen Wig Construction

Compare the sample against the actual product page and approved brief: glueless cap and retention, HD lace and hairline, 360 perimeter and crown, or custom shade and placement. Different constructions require different measurements; use the same sample ID and approval status in your RFQ.

Send your prepared brief to VAYORA

Use the current Request a Quote form to share your requirements. If file attachment is unavailable, paste the key fields into the message and mention the tool and revision. VAYORA can review the next quotation or sampling step.
